Document Module Overview

From your main reporting dashboard the company have the option to utilise the Documents Module. This module is for all internal documents to be stored on Safety Cloud for convenience. 

Within this module you have the option to have sub modules. In effect sub folders for your document storage. If you wish to have sub modules here please contact help@safetycloud.com. You will need to click into a sub module to manage their categories and which dashboards can view them.

You will need to create categories for your documents to be assigned to before being able to add them in. When in the document module/sub module select Manage Document Categories. Superusers have the account permissions to manage these on behalf of the company.

Then select + New Category

Please note these categories will show on the main module hub, but when you click into the records information. The documents will be shown to be stored under specific dashboards or 'multi-site' company wide. 

Multi-site documents will sit on every dashboard across the company and be available for all dashboard managers/users who have granular access to this module. To add a multi-site document you must select + New Multi-Site document.

You will then need to free type the document name. The date it is added. Allocation level will always be top reporting level so this document will be shown across all dashboards. A category will always been to be assigned so once a manager is in the records information they have these details. A review date for compliance must always be entered. You can then save the document.

Once a document is saved you will be taken to a page to add the actual document attachment. Please see Attaching a File for further information. 

You are able to manage this document much the same as all other records in Safety Cloud. You have the option to archive, enable, show history and review when the review date prompts you. 

New Site Document works the same however these uploaded documents will only be viewable for the specific site they are assigned to. 

See below the documents module show the categories the documents are assigned to.

All uploaded documents in this module (depending on multi-site or the assigned dashboard) will in turn appear on all users My Dashboards. 

Go to My Dashboard, scroll to Health and Safety Information. 

You can then access the document module 'read only' view to see all relevant company documentation as needed.
